Note: this article applies to POP/IMAP mailboxes only. To connect your Outlook to an Exchange mailbox via POP/IMAP read this Knowledge Base article: How Can I Connect To My Exchange Server Using POP Or IMAP?

Important: to guarantee service security, we are enforcing high-grade encryption level for sending emails via POP/IMAP mailboxes. SSLv2 and SSLv3 are no longer supported. Verify that your mail clients/mobile devices are using the latest software version and that officially supported version of Operating System is being used. The update is being gradually rolled out on all Intermedia domains.

To configure Outlook for Windows to connect to a POP/IMAP mailbox:

  1. Go to your Outlook mail settings from Start > Control Panel > Mail.
  2. If you cannot locate the Mail icon within your Windows Control Panel, try the following steps. 
    • To the left of the Windows Control Panel, but in the same window, select Classic View.
    • If Mail still does not appear as an individual icon, look for it under Show 32-bit Control Panel Items.
  3. Click the Show Profiles button and click Add for a new profile.
  4. Specify your Profile Name and click OK.
  5. Ignore the Auto Account Setup Page, select the checkbox next to Manually configure server settings or additional server types and click Next.
  6. Select POP or IMAP (Internet E-mail for the older Outlook versions) and click Next.

    Important: We strongly recommend to use the IMAP protocol instead of POP protocol as POP protocol is considered to be outdated and can cause the performance issues for your mailbox.
  7. Enter the required information in the E-mail Accounts window, using the following guidelines:
    • User Information
      • Your Name: This should be your full name.
      • E-mail Address: This should be your Primary Email address.
    • Logon Information
      • User Name: This should be your Primary Email address.
      • Password: Password for your POP/IMAP mailbox. 
    • Server Information Enter the server names in lower case in both Incoming email server and Outgoing email server.
      Important: to protect your account information, we cannot publish your Server names in the public Knowledge Base. You can find this information on the HostPilotĀ® Control Panel > Services > Mailboxes > POP/IMAP Email section, click the View Instructions button at the top of the page to view Outlook configuration instructions. Please note that you cannot use the server name which can be found in HostPilot > Get Started Here! > Advanced Exchange Settings > Incoming mail (POP/IMAP).
    • Deliver New Messages To (for Outlook 2010/2013)
      • New Outlook Data File: If you choose this option, a new PST file will be created. You will see it in the folder tree.
      • Existing Outlook Data File: Choose this option if you want to place messages in the existing PST file.
  1. Click More Settings.
  2. Switch to Outgoing Server tab and check the box next to My Outgoing server (SMTP) requires authentication.
  3. Switch to the Advanced
    • For Incoming server (POP3 or IMAP): make sure port 993 (for IMAP) or 995 (for POP) is entered, select the checkbox next to This server requires an encrypted connection (SSL)
    • For Outgoing server (SMTP): enter port 25, 587 or 465 (only for Exchange 2010-2013), select TLS in drop-down menu.
      Note: depending on the Outlook build, you might see SSL/TLS and STARTTLS instead of TLS. In this case choose STARTTLS from the drop-down list.
    • For POP3 connection you may want to select an option to Leave a copy of messages on the server.
  4. Click OK, click Next and Finish to complete the setup.

Important: there is a known issue for IMAP accounts on Outlook 2013/2016/2019.


  • mail isn't populating
  • Sent Items, Outbox, Junk Email folder etc. show up as the subfolders of the Inbox folder.

Until Microsoft releases an update to fix the issue, use the following workaround:

  1. In Outlook 2013/2016/2019, navigate to File > Info > Account Settings > Account Settings:

  2. Select the IMAP account and click Change (or double-click the IMAP account name)
  3. Navigate to More Settings > Advanced and enter INBOX in the Root folder path field
  4. Click OK > Next > Finish
    OK > Next > Finish

All default folder will show up as top-level ones and mail will start populating to the Inbox folder.
