Important: Migration to Exchange 2019 is available only from Exchange 2013.

This article describes the process of In-Place migration from Exchange 2010/2013 to 2016/2019.

The majority of services are migrated automatically unless specified in the table below.

Migration pre-requisites:

  • Autodiscover records must be present for each domain on the account and point to source account autodiscover host
  • Users must have Outlook 2007 or higher to finalize the migration
    Note: for migration to Exchange 2016, Outlook 2010 is required.

End-user experience:

  • Migration of passwords
  • Outlook profile reconfigures automatically and mailbox data doesn't need to be re-downloaded
  • No mail-flow interruption during the cutover
  • Mobile devices need to be reconfigured after cutover, end-user instructions are provided

Following services are manually migrated by  Intermedia to Exchange 2013/2016/2019:

  • UserPilot
  • Password Policies
  • Company Disclaimer
  • Outlook Backup files and Backup schedules
  • Public Folders over 50 Gb in size
  • "Mail-enabled" property for the public sub-folders
  • POP/IMAP Mailbox Data
  • AppID Enterprise
  • 3rd party Compliant Archiving

An assigned Migration Concierge from dedicated migrations team will assist with the above.

Following services cannot be migrated to Exchange 2013/2016/2019:

  • SharePoint
  • Message Mirror: data can be exported or migrated to Email Archiving service prior to in-place migration
  • Office Communicator 2007: Skype for Business Instant messaging will be available on the new account
  • PC Backup: SecuriSync needs to be used instead
  • Group Chats in Skype for Business Enterprise
  • Retention Policies: need to be re-enabled after the cutover

To initiate In-place Migration, contact your Account Manager or Sales team.

Once In-place Migration Wizard is enabled on your account you can start migration by navigating to HostPilotĀ® Control Panel > Services > In-place Migration.

In-Place Migration wizard walks you through the migration in a step-by-step manner. You can find more information about each stage of the migration below:

Step 1:  Check services    
You will see the preselected plan that includes most of your current services and some new. The plan can be changed after the migration is complete. You will be charged for the new plan on the 1st day of the month after the migration.

Step 2:  Learn more about migration
You can find out more about the services that will not be migrated. If you need to keep data from the services you need to back them up. Click on the links to see the info about the ways to back up the services.
Note: The services that cannot be migrated will be uninstalled.

Step 3:  Prepare for data migration    
After this step, it is not possible to cancel the migration process.
You need to make sure that:

  • Autodiscover records are in place for the domains.
  • End users have Outlook client version 2007 or higher.

Note: If the autodiscover record is not resolved correctly, then, Outlook clients will have to be reconfigured manually. Thus, users' signatures will be lost and opened local files, if any, will be closed.

Note: you can manage pending requests from users under 'Manage pending service requests from your users'.
Step 4:  Data migration
Objects are created on the new account and data migrated alongside services.

Note: ETA for Data migration depends on the size of the account.

Once the data migration is completed you are prompted to confirm that you are ready for cutover.

Step 5:  Cutover
During the Cutover the account cannot be managed via the HostPilot only the migration wizard is available in the control panel at this step. End users will not be able to sign in to My Services. Contact Migration Concierge if you need to make any changes to the account or backup services that cannot be migrated.

Step 6:  Configure email

Note: If the autodiscover record is not resolved correctly, then, Outlook clients will have to be reconfigured manually. Users' signatures will be lost and opened local files, if any, will be closed.

Also on this step, you have the ability to provide users with instructions for reconfiguring their mobile devices by sending them a how-to email. A preview of the email is available.

Skype for Business or Lync clients are needed to be reconfigured at this step to use new Skype for Business server. Read the Knowledge Base article on Getting Started With Skype for Business for Windows for more information.
