Import users

I. Importing from a TXT file

You can create multiple users from a TXT file. This is the recommended method if you do not utilize an in-house Active Directory, but would like to create users automatically.

TXT file requirements:

  • To view an example of a correct TXT file, click Download template for TXT file on the Data Source page.
  • The format for data in your file should be the following:
Display Name [SPACE] UPN [LINE BREAK]
    [repeat for each user]
  • Make sure that each UPN is in the format mailbox_name@domain.name
  • If you are going to create Exchange mailboxes for all imported users, make sure that the domain name used in the UPNs has been added to this account. To add domains, use the Services > Domains page.

TXT file import:

  1. On the Data Source page, select TXT File (.txt) in the Source dropdown.
  2. Click the Browse... button to select the file containing user information.
  3. If you want to create mailboxes for all the users you are importing from the TXT file, check the Exchange box next to Services.
Note: If you selected the Exchange option, ensure that the corresponding domain name has been added to this account prior to uploading your .txt file. (To add domains, use the Services > Domains page.)
  4. Click Proceed to perform the import. All users that were imported successfully are listed on the Preview list of users page.
    • The Display Name and UPN for each user are validated. The Valid column displays a checkmark next to successfully validated users. If validation fails, the user is marked with a red "x" and error messages are displayed next to the invalid information.

    • You can correct invalid information, then select the box next to the user you want to import without reloading the TXT file.
  5. Make sure that the checkboxes are selected for the users you want to import. Click Proceed to create new users.
  6. Click Confirm, then click OK to confirm charges.
  7. User passwords will be generated and sent to the email address specified.

II. Importing from a CSV file

If you utilize in-house Active Directory, you can use the  csvde.exe utility to export user data to a CSV file.  Read the Knowledge Base article on How do I export Active Directory user information to a CSV file? for more information. For a list of user attributes that can be imported from a CSV file, read the Knowledge Base article on What Active Directory user properties can I import from a CSV file?.

CSV file requirements:

  • To view an example of a correct CSV file, click Download template for CSV file on the Data Source page and either save it, or open it to view.
  • Make sure that each UserPrincipalName (UPN) is in the format mailbox_name@domain.name
  • Each UPN must be unique in the list, meaning that each item in the list being imported must have a unique UPN.
  • Each UPN must be unique in the account, as well.
  • If you are going to create Exchange mailboxes for all imported users, make sure that the domain name used in the UPNs has been added to this account. To add domains, use the Services > Domains page.
  • The DisplayName field must not be empty.

CSV file import:

  1. On the Data Source page, select CSV File (.csv) in the Source box.
  2. Click the Browse button to select the file containing user information.
  3. If you want to create mailboxes for all the users you are importing from the CSV file, select the Exchange Server option next to Services.
Note: If you selected the Exchange Server option, ensure that the corresponding domain name has been added to this account prior to uploading your .csv file.

III. Importing from UserPilot

This option is available only when you have the UserPilot service installed on your account and there are unlinked users.

Users from an in-house Active Directory can also be imported without creating a CSV file. Using UserPilot, you can keep your on-premise Active Directory synchronized with your Intermedia Active Directory. In this way, each user created in your in-house Active Directory can be imported to the Intermedia Exchange infrastructure.

To import users directly from your Active Directory, you will need to install and configure the UserPilot service on all domain controllers in the forest. Read the Knowledge Base article UserPilot Installation Guide for instructions.

After the service is installed, synchronization begins. All objects found by the UserPilot service in your Active Directory should appear in HostPilot > ADSync > Link New Users. Now you can create new users from the list of unlinked users. To do this, navigate to Users > Create User. Click Import multiple users from TXT, CSV or UserPilot and follow the instructions below.

  1. On the Data Source page, select UserPilot in the Source box.
  2. Choose one of two options:
    • If the user UPN used in your Active Directory contains the same domain as the domain name you want to use with Exchange Server, select Create users with the same UPNs as in your Active Directory. If you are going to enable Exchange service for all imported users, make sure that the domain name in your Active Directory has been added to your account on the Services > Domains page.
    • If the domain name used in your Active Directory is different from the domain name you would like to use with Exchange Server, select Use one of the domains and select the domain in the dropdown. Note that the list of available domains only shows those domains that have been added to your account on the Services > Domains page.
  3. If you want to create mailboxes for all users you import from UserPilot, select the Exchange Server option next to Services.
Note: If you selected the Exchange Server option, ensure that the corresponding domain name has been added to this account before you continue. (To add domains, use the Services > Domains page.)
  4. Click Proceed to perform the import. All unlinked users that were imported successfully are listed on the Preview list of users page for confirmation.
    • The Display Name and UPN for each user are validated. The Valid column displays a checkmark next to successfully validated users. If validation fails, the user is marked with a red "x" and error messages are displayed next to the invalid information.
    • Checkboxes next to validated users are selected by default. These users will be imported when you click Proceed.
    • You can correct invalid information, then select the box next to the user you want to import without reloading data from UserPilot.
  5. Make sure that the checkboxes are selected for the users you want to import. Click Proceed to create new users.
  6.  Click Confirm, then click OK to confirm charges.
  7. In your in-house Active Directory, reset the password for each user. This is required in order to maintain password synchronization between your on-premise Active Directory and the Active Directory hosted by Intermedia.
