This article describes the delivery of an encrypted messages to the recipients when Policy-based Encryption is enabled for the account. To find out about Policy-based Encryption, please read the Knowledge Base article Getting started with policy-based encryption.

Note: the messages stored in Message Pickup Center will only be available for 30 days.

When email is sent from our server and Policy-based Encryption is triggered, the recipient can view and reply to the encrypted email using their Message Pickup Center in their web browser. When the recipient replies to an encrypted message, through the website interface, the message is sent using an encrypted connection to Intermedia Exchange servers. Intermedia servers have the appropriate software installed to decrypt the email so that the recipient won't need to use the message pickup center to read the email, but instead can read it using Outlook or Outlook Web App. And when a desktop Outlook application connects to Intermedia Exchange server to view email it uses a TLS-encrypted connection, so the message cannot be intercepted by a third party.

  • If the recipient has never received encrypted messages before:

    1. User with Policy-based Encryption enabled sends a message. If one of the policies is applied to the user by the account administrator, the recipient will get the message with an activation code:
    2. After clicking Click here to create your free account and read your message the recipient needs to fill in the Activation Information and create the password for Message Pickup Center account:

    3. After clicking Activate the recipient is prompted to sign in with the credentials that were just setup. Once logged in the recipient can view the messages. Click on the message to view it:

    4. Click on the attachment sign to download the attachment:

  • If the recipient has received encrypted messages before:

    1. User with Policy-based Encryption enabled sends a message. If one of the policies is applied to the user by the account administrator, the recipient will get the message with a link to access Message Pickup Center:

    2. The recipient needs to enter the email address and previously created password (step 2 in the above section):

    3. The recipient is now able to view the message (steps 3-4 in the above section).
