Overview of New Deployment process

This article outlines the process of setting up your account when you have not used your domain name for email service before.

Phase 1. Account Object Creation
Phase 2. DNS Changes
Phase 3. Mail Clients Configuration

PHASE 1. ACCOUNT OBJECT CREATION

  1. Log in to HostPilotĀ® Control Panel.
  2. Add your domain name(s) to the account.
    To do this, navigate to HostPilot > Services > Domains. Type in your domain name and click Add. Mark it as default and click Save Changes.

    You may now create your account objects manually by following the instructions in the following Knowledge Base articles: 
  3. Services like ActiveSync, Blackberry and other additional services will need to be activated manually for the users that need them. If you have any questions on whether you need to activate something, don’t hesitate to contact Intermedia.

PHASE 2. DNS CHANGES

  1. Change MX records.
    You will need to change your MX records to point to your new Exchange account.
    You can find them in HostPilot > Exchange servers and settings > MX Record.

    Note: It is extremely important that the MX records are created correctly. If you need assistance ensuring the change was made correctly, contact our Intermedia's support engineers to assist you.

  2. Add Autodiscover and SPF record.
  • To create your Autodiscover record, contact your Registrar or the host of your authoritative servers and have a subdomain created for autodiscover.yourdomainname.com (insert your domain name instead of yourdomainname.com). Create a DNS CNAME record for this subdomain that points to Intermedia autodiscover address. You can find this address in HostPilot under Exchange servers and settings > Autodiscover.

  • To create a new SPF record, contact your Registrar or the host of your authoritative servers and have a TXT record created.

Due to the distributed nature of Internet the propagation of DNS changes may take up to 72 hours.

PHASE 3. MAIL CLIENTS CONFIGURATION

  1. You will need to configure all of your mail clients and devices to connect to the new server. Details on mail clients or devices configuration can be found below.

    ENTOURAGE/OUTLOOK 2011 

    If you are using Outlook 2011 provided by Intermedia, it can be downloaded from HostPilot > Home > Downloads. We highly recommend using an Autodiscover record for the setup.

    Note:
    Entourage users must have Entourage Web Services Edition installed in order to connect to an Exchange 2010/2013 server.  Once the necessary version is installed and set up, it should connect to users' mailboxes.  This will take some time, depending on the mailbox size and bandwidth.

    OUTLOOK

    Important: Outlook 2003 is not supported in the Exchange 2010/2013 environment. Please make sure that a newer version of Outlook is installed for all users.
    If you are using Outlook provided by Intermedia, it can be downloaded from HostPilot > Home > Downloads. Have users run the Outlook Profile Helper from the new account to create a new profile. This will connect them to the new mailbox. Outlook will then synchronize with the mailbox.  This will take some time, depending on the mailbox size and bandwidth.

    ACTIVESYNC

    For ActiveSync devices, remove the old ActiveSync account and create a new one.

    BLACKBERRY

    For BlackBerry devices, the user will need to wipe the device and then activate the new account using Enterprise activation. We recommend using the BlackBerry desktop manager to backup any vital data on the blackberry. Upon activation, the device will synchronize the contacts and calendar along with the recent mail. The device will only synchronize the last 7 days or 350 mail items.

  2. DNS propagation of your DNS records changes can take up to 72 hours.
    After DNS changes are propagated you are live on the new account.
