Read the Knowledge Base article on How To Create And Manage A Shared Calendar In Public Folders On Exchange to create Public Folders.

Public Folders starting from Exchange 2013 and later versions require an Autodiscover record to be set up. To view Public Folder(s) in your Outlook client, make sure an Autodiscover record is created for your domain. Read the Knowledge Base article on What Is An Autodiscover Record And Why Do I Need It? for more information.

Outlook for Windows

To access Public Folders in Outlook for Windows navigate to Folders tab > Public Folders > select necessary folder:

Outlook for Mac

In order to use Public Folders on Mac you would need to subscribe to the Public Folder.

Public Folders in OWA 2013

In order to access Public Folders in OWA, perform the following steps:

  1. Right-click Favorites and click add public folder
  2. Expand All Public Folders, select the folder and click Add

Now the Public Folder will appear under Favorites:

Public Folders in OWA 2016/2019

In order to access Public Folders in OWA, perform the following steps:

  1. Right-click Favorites and click add public folder

  2. Expand All Public Folders, select the folder and click Add to Favorites

Now the Public Folder will appear under Favorites:
         

Notes:

  • Users can add Calendar, Contact and Mail public folders. Calendar and Contact folders will show up under Calendar and People respectively.
  • Each public subfolder need to be added separately:
     
  • If the folders aren't accessible when you try to add them to Favorites, try adding them to Favorites in Outlook in Online mode first. Once Public Folders are opened and loaded in Outlook, you will be able to add them to Favorites in OWA.

Public folders on Mobile devices (OWA 2013/2016)

Currently, the Microsoft Outlook application for Android/iOS does not supply Public folders. Native Mail application does not allow you to view Public folders as well.

To be able to access your Public folders from your Mobile device, we can suggest the workaround below.

iPhone/ iPad

  1. You can open your Safari Web browser and log in to your Mailbox via OWA page.
  2. Once you logged in, press and hold the Refresh button until you see the option Request Desktop Site. Tap on it.

  3. This will allow you to view the Mailbox page as you see it in your Desktop browser.
  4. After that, you can use the Favorites tab to work with Public folders as you would from the Desktop browser.


Android

  1. You can open a Web browser on your mobile device and log in to your Mailbox via OWA page.
    We recommend using Google Chrome for better performance.
  2. Once you logged in, tap the Options button (upper right corner) and tap the Desktop site option.

  3. This will update the page and you will be able to view the Mailbox page as you see it in your Desktop browser.
    If you still do not see the Desktop page after this step, please make sure the address URL is https://your_proxy_server/owa/, where your_proxy_server should be the correct proxy server for your account.
  4. After that, you can use the Favorites tab to work with Public folders as you would from the Desktop browser.
