If you already have a supported Polycom device that you would like to provision on Intermedia Unite, you can easily set up the device using the Enhanced BYOP method.

In this article, we will cover the following topics:

Add device in HostPilot

  1. Login to HostPilot and navigate to Voice ServicesDevices > Setup your own device.
  2. Select the Brand and Model of your device.
  3. Enter MAC address. MAC address can be found on the back of the phone. 

  4. Assign a user and 911 address.
  5. Click Add device


Enter the provisioning URL into the phone

Phone will configure itself from the Voice Services provisioning server. There are two ways to do this, using the phone's web user interface or the manual method.

Note: phone should be reset to factory settings before you provision it. 

How to configure a Polycom phone using the Web UI

  1. Plug in the phone power cord and network cable. The phone begins initializing and the lights on the phone will flash (this should take about 5 seconds to complete). While the phone is connecting, it automatically finds the local DHCP server and gets its IP address.
  2. Obtain the IP address of your phone:
    1. Press the "Home" button (or "Menu")
    2. Navigate to Settings > Status > Network > TCP/IP Parameters. This page displays the "IP" of the phone. 
  3. On your computer open web browser and type the phone's IP address in to the browser's search (address) field to open web interface for the Polycom phone.
  4. Log in to the phone using default user name and password:
    Login: admin
    Password: 456

    Note: if you can not login using these credentials, then the phone was not reset to factory settings. 

  5. Navigate to Settings > Provisioning Server. Change the following information
    1. In the "Server Address" field, copy and paste the URL below:

      https://phoneprov.telecomsvc.com/configServlet/Polycom

    2. Change the Boot Server to from "Custom+Opt.66" to "Static".

    3. Change the Server Type from "FTP" to "HTTPS".

    4. Click Save on the  bottom of the page.


  6. The phone will restart itself. Do not unplug the phone from the power while it's restarting. THe phone may restart several times.
  7. Once the phone is done provisioning it will display your extension number in addition to the display preferences you configured for the device in HostPilot and the phone can be used.



How to configure a Polycom phone using the Manual (Keypad) Method

Polycom phones can be programmed using the keypad itself, the Web UI (although easier to use) is not required to provision the phone. In the event that you need to do this, follow the instructions below.

  1. Plug in the phone power cord and network cable. The phone begins initializing and the lights on the phone will flash. Interrupt the boot process by pressing the Cancel softkey before the timer expires. Press the Setup softkey.
  2. Enter the admin password (456) and press Ok. If it does not work, you need to factory reset the phone.
  3. The phone will enter the admin setting menu. You want to get to Provisioning Server... which may be the first option. Depending on the firmware you may have to scroll to Admin Settings, then Network Settings, then Provisioning Server. Hit the Select softkey (or the “Check” mark button in the middle of the directional pad) to enter the Provisioning server menu.
  4. In the Provisioning Server menu, press the "Down" arrow on the phone's directional-pad until you've selected DHCP Menu ... Under Boot Server change the DHCP menu from "Custom+Opt.66" to "Static".
  5. Go back to the Provisioning Server menu, press the "Down" arrow on the phone's directional-pad until you've selected Server Type. Change this value from "FTP" to "HTTPS".
  6. In the Provisioning Server menu, press the "Down" arrow on the phone's directional-pad until you've selected Server Address. Press the Edit softkey. Enter the provisioning server URL. IF there is something in the address field other than the correct URL it will need to be deleted using the key.

  7. Tip: pressing # once will populate / and pressing # twice will populate :   pressing * will populate the dot (.)  Note: some firmware versions will be slightly different for example to change from numbers to letters you have to press the # key and the * key will poplute the / and the dot (.) 
  8. Depending on the type of phone you're using, there are different ways to enter the characters:

    The keypad has 3 different modes
    "123" - keypad entries are numbers
    "URL" - keypad entries are numbers/lowercase letters
    "IP" - keypad entries are in IP address format
    The # key switches between modes.
    The 'Up Arrow' turns a lowercase letter that is currently selected into a capital letter

    The keypad has 3 different modes
    a -> 1A - each button allows entry of a number and lower case letters. * and # allow for special characters.
    1 -> Aa - each button allows entry of a number only. * produces a period, # produces a semi colon.
    A -> a1 - each button allows entry of a number and capital letters. * and # allow for special characters.

    For entering the URL, you'll need to use all of the a -> 1A and 1 -> Aa modes

    The following table details that characters that each keypad button will provide.  In other words, if you want one of these characters below, you need to press the correct button to toggle over to it:

  9. You will need to enter one character at a time until the URL is entered in full, double check to make sure it's entered correctly. Once the URL is entered, Press OK. Press Exit twice. The phone will display Exit Option: Save & Reboot (the wording may vary depending on the phone model, but you need to save the configuration changes, and reboot the phone). Press the Select softkey.
  10. The phone will restart itself. Don't unplug the phone from the power while it's restarting. The phone may restart several times. 
  11. Once the phone is done provisioning it will display your extension number in addition to the display preferences you configured for the device in HostPilot, and the phone can be used.
