The call is redirected to User's Voicemail if it is not answered within the specified timeout.
To set up this timeout and manage the User's Voicemail settings please do the following:

  1. Navigate to Users tab in HostPilot.
  2. In the list of users, click the display name of the user you want to set this up for.
  3. Navigate to the General tab and find the Timeout field. Change the value in this field to modify the Voicemail timeout.

  4. Then go to the Voicemail tab.

When Intermedia Unite is enabled for a user, the Voicemail PIN (4 random digits) is generated automatically and sent to the user's primary email address. The user must enter this PIN when calling the Voicemail number to check Voicemail over the phone.

The following Voicemail settings are available:

  • Greeting - the default greeting is set up by default. You can upload a new file or record a greeting by the phone.
  • Voicemail PIN - the PIN used to access this User's voicemail messages. You cannot view the current PIN, but you can reset it.
    Note: When Intermedia Unite is enabled for a user, the Voicemail PIN (4 random digits) is generated automatically and sent to the user's primary email address. The user must enter this PIN when calling the Voicemail number to check Voicemail over the phone.
  • Operator number - this feature provides the option to press 0 when reaching voicemail to reach a phone number or extension.
  • Autodelete user's voicemails after 90 days - automatically deletes voicemails that are older than 90 days. You can manage this option.
  • Voicemail transcription - automatically converts voicemail to text using speech-to-text engine.
  • Notification - choose voicemail notification settings for this user.
    • Send notifications on email - enable/disable voicemail to email notifications.
      • Include voicemail transcription - voicemail transcription will provide a written copy of your voicemail with the email containing your voicemail file.
      • Include voicemail file - voicemail messages are also forwarded to the user's email address as attached sound files. The user must have headphones or speakers for listening to Voicemail on the computer.
      • Delete voicemails on server - Automatically delete the voicemail from the server when notified, thus keeping your voicemail box clean.
      • Mark voicemail as read after notification sent - all voicemails will be marked as read automatically, message waiting indicator on the phone will not show a new voicemail.
    • Send SMS notifications - sends text notifications to cell phones.

Capacity

  • A User's Voicemail box has a maximum capacity of 50 Mb.
  • User will get a notification once his mailbox reaches 80% capacity.
  • There is no overwrite mechanism for the Voicemail box so new voicemails will not be stored. However, once the limit is reach the new voicemail will continue to be sent user via email.
  • Space can not be increased.
