A Web Fax is a personal fax number for receiving faxes that doesn't require a fax machine. People wishing to send you a fax simply dial your Intermedia Unite Web Fax number and send the fax, which is then stored in your web fax portal.

  • You may view and forward the fax from any Web-enabled computer, tablet, or cell phone.
  • You can be notified automatically of new Fax messages on your PC or digital cell phone via Notification settings.
  • You are able to send faxes to your customers by utilizing the Web Fax Upload tool (compatible with Windows).

Important: Fax Upload application is not supported on Mac OS.

Language Preferences

WebFax currently supports the following interface languages:

  • English (UK)
  • English (US)
  • English (Australia)
  • French (Canada)
  • German (Germany)
  • Italian (Italy)
  • Dutch (Netherlands)

Note: Time and date format will be shown in the format of the language region (e.g. English UK and English US will have different formats)


Create new Web Fax

To create a new Web Fax:

  1. Navigate to Services > Unite > Resources & Utilities > click Create.
  2. Choose Web fax option and click Proceed.
  3. Assign a Name, Phone number, and set the Location.
  4. Click Create web fax.
  5. Confirm charges for this operation. 


Edit Web Fax settings / delete Web Fax

To access your Web Fax general settings:

  1. Navigate to Services > Unite > Resources & Utilities > click on the fax name.
  2. You can change the following settings on the General tab
    1. Update the Name.
    2. Reset the PIN.
    3. Log in to the Web Fax inbox.
    4. Change the Location

Note: You can not change the assigned phone number. To change the number you need to delete the web fax from the account and create a new one.

To delete a Web Fax:

  1. Navigate to Services > Unite > Resources & Utilities.
  2. Check the Web Fax you wish to remove.
  3. Click Delete.

Log in to manage faxes

Log in via HostPilot (admin access):

  1. Navigate to Services > Unite > Resources & Utilities 
  2. Click on the fax name
  3. Click Setup Faxes, Settings and Tools

Log in as a user

  1. Go to https://www.intermedia.com/login/voice/
  2. Enter your Web Fax number and PIN (or temporary PIN if it is your first time logging in).

Manage faxes

To view and manage your received faxes:

  1. Navigate to Faxes > New / Received tab to view the list of received faxes for the last 90 days.
  2. On this page you can:
    • View used fax storage space.
    • View received faxes in TIF, JPG, PNG.
    • Forward faxes to an email address or to a fax number.
    • Save faxes to store longer.
    • Download faxes.
    • Delete faxes.

Under Sent Fax Log you can check the status of sent faxes.

In order to set up your email notifications navigate to Settings > Notification

To view or download your fax history navigate to Settings > Call History.

Online Fax Feature

WebFax Resource allows you to send faxes via an online interface in a browser. For more information about this feature refer to this article.

Note: when the storage is 100% full, newly received faxes will stop showing up in the General Fax Storage, however, the system will send out email notifications nevertheless.

Sending from the Fax Upload Tool

Fax is fully encrypted and HIPAA compliant. 

Sending from the Online Fax interface

Receiving the Fax to the Webfax from the Fax Upload Tool/Online Fax Fax is fully encrypted and HIPAA compliant.

Webfax sending an email notification as a PDF or Link

We use the industry standard protocol, SMTP, to send PDF attachments of faxes to an email address, which is unencrypted.

If you are concerned by the lack of encryption in the notification, then you can retrieve the fax as a TIFF or PDF by logging into your Teleweb account instead, which will use Verisign SSL for encryption. 

You will need to use the Send notification without a link option instead of Attachment as a PDF under the Notification settings in your Webfax account.

This will make it so that no one can access the fax without first entering your fax PIN to log in to your account first. 

This is the most secure method to receive fax notifications and to view received faxes. It is more secure than receiving a fax on a standard landline fax machine (POTS) because the fax document does not print out automatically. 

The extra layer of security of entering in your fax PIN makes the process more secure.
