When you export, the original items are copied to the export file, but are not removed from the current folder. You can export to many different file types, including PST files and delimited text files.To export data from Outlook, follow the instructions here for the appropriate version of Outlook:

Outlook 2010/2013/2016

  1. On the File tab on the Ribbon, click on Open&Export, then click on Import/Export. (Outlook 2010: click Import)
  2. Click on Export to a file, then click on Next

  3. Select Outlook Data File (.pst), then click on Next
  4. Select the folder you want to export, then click on Next
  5. Choose the filename you want to use for the data to be exported. Click on Next
  6. After Outlook finishes exporting, click on Ok

    Note: As the local .pst file may be corrupted, it is recommended to perform the task while using Outlook in Online mode, to ensure that the actual data from the server is being exported.

Outlook 2007

  1. On the File menu, click on Import and Export
    (If the menu item is not available, hover your pointer over the down arrows at the bottom of the menu, then click on Import and Export.)
  2. Click on Export to a file, then click on Next

  3. Select Personal Folder File (.pst), then click on Next
  4. Select the folder you want to export, then click on Next
  5. Choose the filename you want to use for the data to be exported
  6. Click on Finish

Outlook for Mac

Outlook 2016 for Mac

  1. In Outlook, go to File > Export
  2. Select Items of these types and check the boxes for the for the types of data you want to export (Mail, Calendar, Contacts, Tasks and Notes)
  3. Click on Continue button
  4. Specify the location and the name of the file and click on Save 
  5. After Outlook finishes exporting, click on Finish 

Outlook 2011 for Mac

  1. In Outlook, go to File > Export
  2. In the new window, choose Outlook for Mac Data File (.olm)
  3. Select Items of the following types, and check the boxes for the types of data you want to export (Mail, Contacts, Calendar, Tasks and Notes)
  4. Click on the right arrow to continue
  5. Choose whether to delete the exported items or to leave them in the mailbox
  6. Click on the right arrow.
  7. Specify the location and the name of the file and click on Save
  8. After Outlook finishes exporting, click on Done
